What is Zara Medical’s financial policy?

Self-Pay Prices: $125 per visit
Form Completion: $25 per form outside of an appointment.
Collections: Invoices unpaid for 60 days are sent to collections.

Are in-person appointments available?

Not at this time. Zara Medical operates primarily as a telehealth practice to provide accessible and convenient care. Our innovative hybrid model allows patients to receive high-quality care virtually, with the option to transition to in-person visits if medically necessary. For situations that require in-person care, we will guide you on how to seek appropriate services.

Who will be my clinician?

Our clinical team consists of board-certified or board-eligible Nurse Practitioners (NPs), Physician Assistants (PAs), and Physicians (MDs/DOs). All our clinicians are experienced in delivering high-quality primary care through telehealth.

What insurance plans do you accept?

We currently accept the following insurance plans:
Blue Cross Blue Shield PPO (nationwide) and HMO (Texas only)
Aetna PPO
United Healthcare PPO
Cigna PPO
We are not in network with any Medicare or Medicaid programs
Please contact your insurance provider to confirm that Zara Medical is in-network for your plan.

What patient portal does Zara Medical use?

We use the Elation Health Patient Passport as our patient portal. Through this portal, you can access your lab results, communicate with your clinician, request appointments, and more.

What is Zara Medical’s Appointment Policy?

Office Hours: By appointment only. Same-day appointments are usually but not always available. You may request an appointment using our online booking tool or by calling our office.
After-Hours, Emergencies, and Holidays: If you have a life-threatening emergency, call 911 immediately. Our 24/7 answering service is available through the main number, 512-491-3702, extension 804.

Cancellations/Rescheduling: We require cancellation notices at least 24 hours before your scheduled appointment. No-shows will be charged a $100 fee. Patients who arrive 10 minutes or more after their appointment time will be asked to reschedule and pay a $25 fee to be added to the schedule again.

Treatment of Minors: Patients under 18 must have a parent or guardian present at the appointment. Unaccompanied minors will not be seen.

How do lab results work?

We partner with Quest Diagnostics, LabCorp, and Clinical Pathology Laboratories (CPL) for lab services. Here’s how the process works:

We place your lab order in our electronic health record (EHR) and send it to the lab electronically.
You will receive a copy of the order via the patient portal, along with instructions on how to schedule your lab visit.
Lab results are typically sent back to us within 3-5 business days.
We will review your results within 5-7 days and notify you of the next steps.
If you do not receive your results within that time frame, please contact our office. Occasionally, lab facilities may fail to send results, and we must request them manually.

How does imaging work?

If you need imaging services (X-rays, MRIs, ultrasounds, etc.), we will refer you to a local imaging center.
We place your imaging order in our electronic health record (EHR) and fax it to the imaging center and to you.
You will receive a copy of the order via the patient portal, along with instructions on how to schedule your imaging appointment.
Imaging results are typically sent back to us within 3-5 business days.
We will review your results within 5-7 days and notify you of the next steps.
If a prior authorization (PA) is required, we process it within 3-5 business days after being notified by the imaging center.

How do referrals work?

Your clinician will refer you to trusted local specialists, labs, or imaging centers that accept your insurance. We use AI-powered tools to identify appropriate providers, but insurance coverage may vary.
Referrals are processed within 2-3 business days after your visit.
Paper referrals can take up to two weeks to be received by the specialist or imaging center.
Referral details are sent to you via our patient portal and texted securely through our Spruce messaging system.

Are text messages secure?

Yes, Zara Medical uses Spruce, a HIPAA-compliant secure messaging platform, to ensure your communications are protected. Through Spruce, you can receive appointment reminders, updates, and referral details while keeping your personal health information safe.

What is the policy for well versus problem visits?

Your Annual Preventive/Wellness Visit includes:

Routine body measurements
Review of individual and family medical history
Medication review
Personalized health advice
Referrals to preventive counseling services
Your Well Visit DOES NOT include evaluation and treatment of existing or new medical problems. If additional medical concerns (such as diabetes or back pain) are addressed during the visit, those services may be subject to deductible, coinsurance, or copay based on your insurance plan. We will collect this fee at the time of service.

How are prescriptions and refills handled?

The best time to get a refill is during your appointment.
Refills require 3 business days to process. If your current prescription indicates refills are available, please contact your pharmacy directly.
Controlled substances are not prescribed unless deemed necessary and no alternatives are available.

How do I handle FMLA paperwork?

For FMLA paperwork:
Contact your HR department and obtain the necessary FMLA forms.
Complete your portion of the forms and email them to forms@zaramedical.com.
Two visits are required to complete FMLA paperwork:

First Visit: Initial evaluation and review of your condition.
Second Visit: Completion of forms.
There is a $25 charge for forms completed outside of a visit. Turnaround time is 5-7 business days.

If I booked through Zocdoc, will my visit be free?

No, there is no booking fee for scheduling through Zocdoc, but your applicable copay, deductible, or coinsurance will apply at the time of service.
